Build your venue brief.
For an exhibition stand, clarify the hall, stand number, arrival contact and whether the role includes sales, sampling or demonstrations. For an immersive experience, map admissions, activity zones, retail and break cover separately. Agree setup and pack-down hours alongside public opening times.
Roles to discuss
Stand hosts, brand ambassadors, registration teams, visitor welcome, queue guidance, retail support and team supervision. The roles and coverage depend on your event.

TRAVELLING TO EXHIBIT IN THE UK?
A local team.
A friendly welcome.
Plan stand activity and visitor experiences separately.
A staffed exhibition stand and a ticketed visitor experience need different plans. On a stand, identify who welcomes people, who explains products and who hands enquiries to your team. For an attraction, map admissions, visitor guidance and retail positions separately.
For your NEC brief, provide the hall, stand or attraction location, staff entrance, arrival contact and access instructions supplied by your organiser. Build the walk to the working position and the briefing into your arrival plan. Confirm any setup or pack-down duties separately from public opening hours.
Pet Munchies at Crufts provides a useful example of a brief spanning sales, sampling and practical stand support. Its 74 shifts and 100% attendance belong to that specific project; use your own programme and cover requirements to plan the next one.
Questions to settle before booking.
How many people? Start with the positions you need covered at the same time, then consider busy periods and breaks. Plan your headcount ↗
What hours should I book? Include required briefing and setup, not only public opening times. If cover exceeds the 13-hour shift limit, split it between shifts. Prepare for event day ↗
