One example.

For example, two standard exhibition staff in London, 09:00–17:00 on a normal weekday: £438 before VAT + £87.60 VAT = £525.60. This illustration assumes a UK business customer and one workplace per shift. Use your actual dates to check the total and availability requirements.

What needs a tailored quote?

Bookings above 40 staff shifts, unlisted locations and overseas VAT treatment need review. Split shifts longer than 13 hours. Team leaders are priced automatically at 30% above the staffing rate.

Local travel is included automatically in the calculated total. Some locations require an availability check even with seven or more days’ notice. Less than seven days’ notice and dates more than 12 months ahead also need approval.

How the calculation works.

  1. Each shift has a six-hour minimum charge, with £7 per extra half-hour up to 13 hours. Additional time rounds up to the next half-hour. Sales and lead generation add £5 per chargeable hour. Include briefing and setup in booked time.
  2. Multiply that rate by the number of staff on that shift.
  3. Apply holiday and team-leader increases to staffing before fixed travel and the £25 overnight allowance. One staff shift adds 50%; 11–20 shifts receive 5% off and 21–40 receive 10% off the inclusive total. Then calculate VAT on the subtotal. UK business estimates use 20%, including customers who are not VAT registered.

For example, two standard exhibition staff for two eight-hour days: 2 people × 2 shifts × £219 = £876 before VAT; £175.20 VAT; £1,051.20 including VAT. This illustration assumes London, normal weekdays, a UK business customer and a single workplace per shift. An actual estimate uses your dates and location and remains subject to booking confirmation.

Days with different roles, staff numbers or hours are calculated separately. Clock-change dates, specialist duties, overseas tax and unusual travel go to manual review.

Ask your AI assistant for an estimate.

A connected assistant can use the same live calculation as this website: search your location, enter your staffing plan and return the net price, VAT and total, with any approval requirements.

Have your dates, arrival and finish times, staff numbers, roles, venue and billing country ready. Tell the assistant whether staff stay at one workplace during each shift. A calculation does not send an enquiry or reserve staff.

The base customer rate card is a reference. Use POST /api/estimate for an accurate dated calculation with location, holiday, role and volume adjustments. Amounts use integer pence. An undated GET request asks for missing details instead of guessing a total.

draft_estimate is a calculated estimate. estimate_requires_approval includes a price and the reasons for review. manual_review_required and needs_information do not contain a price. Present every review reason with the result.
