THE FRONT & CENTRE FIELD GUIDE

How many event staff do you need?

Start with the work that must happen at the same time, rather than choosing a headcount from the total visitor number.

Planning guidance · Prepared for this website · Updated 31 October 2026

Map the visitor journey

List each point that needs a person: greeting, registration, product demonstration, queue guidance, gallery support and retail. Mark which positions must stay covered and which can be shared.

Separate fixed roles from demand-led roles

A ticket desk may need a dedicated person throughout opening hours. A queue host may be needed only at peak arrivals. Estimate busy periods and check whether different queues or activities will peak together.

Include briefing, breaks and handovers

Public opening hours are not the whole shift. Include arrival, briefing, setup, breaks, handover and closing tasks. If a post cannot be left empty, identify who covers it.

Give supervision its own attention

A supervisor who is also continuously running a visitor station may not have time to coordinate breaks or deal with an issue. Discuss the management role explicitly.

Turn your assumptions into a brief

Use the hours planner to describe your initial scenario, then ask the team to review it. This is a planning method, not a safety calculation or a prescribed staffing ratio.

Make the plan concrete.

Use our staffing-hours planner, then share the assumptions with your enquiry.
