THE FRONT & CENTRE FIELD GUIDE

What affects event staffing costs?

A useful quotation explains the work and the assumptions behind the price. Compare like for like, not just hourly rates.

Planning guidance · Prepared for this website · Updated 31 October 2026

Roles and preparation

Language skills, product knowledge, sales responsibilities, team leadership and specialist preparation can affect the cost. Explain which skills are essential and which are preferences.

Hours and coverage

Confirm whether quoted hours include briefing and pack-down. Ask how minimum booking periods, extra hours and changes are handled. Continuous coverage can require more paid hours than the opening period suggests.

Location and logistics

Give the town, city or venue and arrival requirements. Envisage selects local staff and includes agreed travel and meal allowances in the quote. Tell us if staff must move between workplaces during a shift: that plan needs a rate review. Overnight work and bank holidays have defined supplements.

What is included

Our agreed staffing quote includes staff pay, travel and meal allowances, agency insurance, briefing, booking management and replacement support. Bespoke uniforms, on-site supervision and specialist reporting should be scoped upfront. See what’s included. If comparing quotations, make sure they cover the same team, hours, responsibilities and support.

The best starting point

Share dates, venue, roles, headcount and expected hours. If these are not final, identify your assumptions so the team can quote a clear scenario. Our draft standard price guide provides a starting point for eligible roles. Specialist work and extra travel need a tailored quotation.

Make the plan concrete.

Use our staffing-hours planner, then share the assumptions with your enquiry.

A worked example.

Two standard exhibition staff for an eight-hour shift: £438 before VAT, plus £87.60 VAT, giving a draft total of £525.60. This November 2026 illustration assumes London, a normal weekday, a UK business customer and one workplace per shift. Your actual dates and location determine the inclusive price and any availability checks.
