Build your venue brief.

For interactive experiences, identify the stations that need trained operators and continuous cover. For a trade show, separate stand welcome, demonstrations and lead capture. Confirm the hall, access point, accreditation, arrival arrangements and all paid briefing time with your organiser.

Roles to discuss

Stand hosts, brand ambassadors, registration teams, visitor welcome, queue guidance, retail support and team supervision. The roles and coverage depend on your event.

TRAVELLING TO EXHIBIT IN THE UK?

A local team.
A friendly welcome.

For international exhibitors ↗

Build a team around the whole visitor journey.

An exhibition stand may need product conversations and lead handovers; an immersive exhibition may need ticket checks, queue guidance and visitor support across a longer operating day. Identify each position before estimating headcount.

Send the event name, hall or working area, organiser access instructions and a named arrival contact. Tell us whether staff need accreditation, when they can enter and how much briefing time is needed before doors open. Use the instructions for your particular event rather than assuming access arrangements are the same for every show.

For longer runs, share your busiest periods, break-cover plan and any changes between weekdays and weekends. We aim for continuity where possible, but cannot promise the same people every day. Earlier notice gives more time to organise a consistent team.

Questions to settle before booking.

How many people? Start with the positions you need covered at the same time, then consider busy periods and breaks. Plan your headcount ↗

What hours should I book? Include required briefing and setup, not only public opening times. If cover exceeds the 13-hour shift limit, split it between shifts. Prepare for event day ↗

Booking from overseas? Share your UK venue and event brief; we can help you plan the local staffing. Read the international exhibitor guide ↗
