RELIABILITY & SUPPORT

What if something changes on the day?

Clear next steps for staff cancellations, late arrivals and concerns during your event.

What happens if a staff member cancels?

Our team will work to source suitable replacement cover and discuss the options with you. Support for ongoing bookings is available seven days a week, 7am–10pm UK time. Replacement availability and arrival times cannot be guaranteed.

Tell us the booking reference, role, shift, location and when cover is needed. Identify any essential skills or access restrictions: a replacement must still be suitable for the work. If we cannot source a replacement for a shift you have paid for, we will refund that shift.

What if someone is late or hasn’t arrived?

Call the team if an expected arrival is missing or you cannot contact the person. Give the agreed reporting point and shift start time.

First check whether they are at another entrance, registration desk or briefing point. Keep one on-site contact available to avoid conflicting instructions. If a position is safety-critical, follow your organiser’s procedure for leaving it uncovered rather than moving an unqualified person into it.

What if I’m unhappy with a member of staff?

Raise concerns during the event so the team has a chance to help. Explain the gap between the agreed brief and what is happening.

Useful detail is specific: an unstaffed position, missed instructions or a task that is not being completed. Say what needs to improve and who is supervising on site. Any replacement or financial resolution needs to be discussed; a complaint does not automatically establish a refund.

Who should I contact during a live booking?

Use the contact in your booking confirmation. Envisage’s published mobile is 07810 550202; call for an urgent staffing problem rather than relying on a new website enquiry.

Keep your booking reference, venue, role and callback number ready. For an immediate emergency, use the venue’s emergency procedure and emergency services where needed. The staffing contact is for operational support, not an emergency response service.

Should I book extra staff as backup?

For essential positions, plan how you would cope with an absence before the event. Extra cover can be discussed as part of the staffing scope.

List the positions that must never be empty, the skills needed and which tasks could pause. One additional person cannot cover several simultaneous gaps. Agree whether a relief person is on site, what they can cover and how their time is charged.
