QUOTES & BOOKING

Know what you’re agreeing to.

A practical guide to quotations, booking confirmation, payment and short-notice enquiries.

What do you need to give me a quote?

Send the location, dates, working hours, approximate team size and what people will do. An outline is fine if you are still planning.

Include the event name and venue hall where known. Flag travel, language, uniform, training or access requirements early. If you do not know the headcount, describe the positions and busy periods instead.

What should the quote include?

Look for a clear total and an agreed scope: roles, staff numbers, shifts and any additional costs.

Check preparation, travel, accommodation, uniforms, supervision and how extra hours are handled. Ask whether taxes are included and what happens if the scope changes. Compare equivalent coverage rather than just the headline hourly figure.

When is my booking actually confirmed?

An enquiry on this website is not a confirmed booking. Follow the team’s booking instructions and retain the written confirmation.

Envisage’s published process includes checking the booking details against the quote, confirming the arrangement and issuing an invoice. If your event date is approaching and you are unsure of status, contact the team rather than assuming a submitted form has secured staff.

When and how do I pay?

Full payment is required to secure your booking, unless our team agrees another arrangement. You can request an invoice at the booking stage; an invoice request alone does not reserve staff.

Purchase orders are optional. If you would like to discuss instalments, ask the team when requesting your invoice. Overseas clients should also confirm their billing details. Online card payments are not yet enabled in this private preview.

Can I book with less than seven days’ notice?

You can submit a booking request with less than seven days’ notice without paying. We check availability and send a payment request only after approval.

We aim to respond to short-notice requests within 30 minutes during office hours, Monday–Friday, 8am–5pm UK time. This is a response target, not a guarantee of availability. Include your venue, shifts, staff numbers and essential skills.

When will I receive my staff’s details?

Envisage sends staff details once staffing is confirmed and payment received. Check the expected timing with your booking contact.

Make sure the on-site contact can access the confirmation and knows the reporting arrangements. If you need names for venue accreditation earlier, flag the deadline when you enquire.
